How one form can run your phone agent, texts, web form and website chat
Write your questions once, as one intake form. DispatchMe turns that form into an AI voice agent, a text message agent, a hosted web form and a website chat widget, so every channel asks the same questions and creates the same request. With the setup assistant, it takes under five minutes.
Why separate scripts drift
Most teams collect requests in several places: a phone script, a contact form, a chat tool, a texting app. Each starts as a copy of the same questions. Within a few months they disagree. The phone script asks for the unit number, the web form does not, and the chat tool asks nothing at all.
Whoever responds pays for the difference. They call back to ask what a better form would have collected, and a request from one channel looks nothing like a request from another.
What belongs in the form
The form holds what should be true on every channel:
- The questions, in order.
- Which answers are required.
- Follow-up questions that appear only when an answer calls for them.
- What happens next: log the request, tell fixed contacts, or reach whoever is on call.
What each channel adds
Each channel changes how the questions are asked, never which questions:
- AI voice agent: answers calls on your number, asks the form’s questions in conversation, answers from the knowledge you add, and can transfer a caller to a person.
- Text message agent: replies to texts on the same number, one question at a time, until the form is complete.
- Web form: a hosted link you can share anywhere.
- Website widget: the same questions in a chat on your own site.
Change it once
When a question changes, change the form. The voice agent linked to it is updated from the form, and the text agent, web form and widget read the same form, so no channel is left asking last month’s questions.
Setting it up
- Tell the setup assistant about your business, or start from an industry template.
- Review the questions it drafts and edit any of them.
- Turn on the channels you want: a phone number for calls and texts, a link, a widget for your site.
- Choose what happens to each request, then go live. A practice run checks the setup first if you want one, and it sends nothing.
